Lewis Roca Rothgerber Christie LLP has an opening for an Administrative Assistant in our Las Vegas office.  Our firm is an Am Law 200 commercial law firm that provides an expanded range of enhanced services in intellectual property, litigation, business transactions, gaming and regulatory and governmental relations.
Summary:
The Administrative Assistant will provide support to attorneys and members of the Appellate group, by managing personal calendars, arranging travel accommodations, scheduling engagements, organizing, monitoring and maintaining email correspondence, and collaborating effectively with legal support staff in order to coordinate and manage administrative work.
The ideal candidate will have an Associate’s degree, plus 2 years’ of Administrative Assistant experience in a law office, or other professional services environment supporting attorneys and legal staff with administrative duties.  The successful candidate will demonstrate a high level of attention to detail, work well with others, maintain confidentiality of matters, and be well organized.  This position is non-exempt, and reports to the Office Administrator.
Duties and Responsibilities include, but are not limited to the following:
  • Maintains calendar of appointments for attorneys/staff
  • Schedules and organizes meetings, conference calls and appointments
  • Monitors, maintains, and organizes all email correspondence for attorneys/staff
  • Gathers documents, and creates table of contents and appendices for court briefings
  • Registers attorneys for speaking engagements, seminars, conferences, and annual meetings
  • Arranges travel plans to include flights, hotel, and rental car accommodations
  • Prepares items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of meeting reservations, food orders, and attendance confirmations
  • Monitors, maintains, and reconciles expense reports for attorneys/staff
  • Assists with mailing, copying, filing, scanning, faxing, creating PDF documents, hand deliveries, and other administrative support functions
  • Ability to accurately type at a moderately fast pace
  • Ability to maintain cooperative, diplomatic working relationships with co-workers, attorneys and supervisors; work as part of a team and collaborate with colleagues; and complete projects under tight deadlines even when there are competing requirements and changes in assignments
  • Other duties as assigned
Education and Experience:
  • High School diploma or GED equivalent required; Associate’s degree is preferred
  • A minimum of 2 years’ of experience in a law office, or other professional services environment, supporting management and other professional staff with administrative duties
  • Proficiency in MS Office programs (i.e. Excel, Outlook, PowerPoint, Word, etc.)
  • Excelled grammar, communication and organizational skills
  • Effective time management and work prioritization skills
  • Experience with document management software (FileSite/WorkSite) and other Windows based applications preferred
  • Prior law firm or professional services experience is preferred
