Lewis Roca Rothgerber Christie LLP has an opening for a Litigation Legal Secretary in our Phoenix, Arizona office.  Our firm is an Am Law 200 commercial law firm that provides an expanded range of enhanced services in intellectual property, litigation, ‎business transactions, regulatory and government relations.
Summary:
The ideal candidate will thrive in a high performance environment, where priorities shift quickly, and project work is performed often with short lead times under tight deadlines.  Successful candidates will be self-starters, who are able to take direction from multiple timekeepers, while performing a variety of administrative and clerical duties independently.
This position is non-exempt, and reports to the Administrative Director, but receives daily direction from the assigned attorneys or other timekeepers.  Depending upon business need, this position may be required to work regular overtime during periods of peak activity.
Job duties will include: Developing and maintaining professional work relationships with attorneys, managers and staff; upholding a strict attention to detail; and maintaining complete confidentiality of client matters.  Primary support responsibilities will center around the accurate and timely execution of:
  • Daily administrative and clerical support to the three or more attorneys
  • Electronic court filings in District and State Courts
  • Upkeep of electronic client files
  • Drafting written materials, i.e., cover letters, court notices, chronologies, etc.
  • Providing miscellaneous document support
  • Proofing written materials and documents with attention to detail
  • Making travel arrangements
  • Scheduling and noticing depositions
  • Calendaring various appointments and meetings
  • Recording and reporting of Lawyers’ CLE
  • Expense reporting in Concur
  • Entry of Lawyer’s time in Carpe Diem
  • Meeting preparation to include scheduling meetings and communicating with internal and external clients
  • Regular engagement with a variety of individuals including attorneys, paralegals, and outside business personnel
Required Skills and Qualifications:
  • Associate’s degree or equivalent additional related experience
  • Working knowledge of Microsoft Word, Outlook, Concur and Internet
  • Experience with both electronic and paper file maintenance and organization
  • Experience with electronic court filing preferred
  • Solid prioritization skills and results orientation
  • Strong organizational skills
  • Diplomacy and calmness under pressure or changing priorities
  • Professional demeanor and communication style
  • Ability to work at a fast pace, while handling a large workload without sacrificing detail or accuracy
